How Vigilant Church collects, uses, shares, and protects information for church security teams using the app.

Vigilant Church ("Vigilant Church", "we", "us", or "our") is committed to protecting the privacy of the individuals who use our application. This Privacy Policy describes how we collect, use, disclose, and safeguard information in connection with the Vigilant Church mobile and web application (the "App"), which is designed to help church security teams manage incidents, coordinate schedules, complete safety checklists, and stay organized.

Please read this Privacy Policy carefully. By accessing or using the App, you acknowledge that you have read, understood, and agree to the practices described in this policy. If you do not agree, please discontinue use of the App.

When you create an account or are enrolled by a church administrator, we may collect:

  • Email address and phone number.
  • Job title or role, such as Team Lead or Security Volunteer.
  • Photograph or profile image, if voluntarily uploaded.
  • Login credentials. Passwords are stored in hashed form and never in plaintext.

2.2 Operational and Security Data

As part of core App functionality, we collect information you and your team enter during normal operations, including:

  • Incident reports, including descriptions, dates, times, locations, severity classifications, involved parties, and response actions taken.
  • Schedule and shift data, including availability, assigned shifts, rotations, and attendance records.
  • Checklist submissions, including safety inspection results, completed tasks, and associated notes or attachments.
  • Internal communications and notes entered within the App.
  • Documents, images, or files uploaded in connection with incidents or checklists.

2.3 Usage and Technical Data

We automatically collect certain technical information when you access or use the App, including:

  • Device identifiers such as device ID, operating system, and version.
  • IP address and general geographic location at the city or region level.
  • Log data such as pages visited, features used, timestamps, and error reports.
  • Browser or app version.
  • Session duration and navigation patterns.

2.4 Communications

If you contact us for support, report a problem, or otherwise communicate with us, we retain records of those communications, including your name, contact information, and the content of your messages.

3. How We Use Your Information

Information you enter into the App is visible to other authorized members and administrators of your church's Vigilant Church account. Administrators have elevated access to view team data, incident records, and reports. Please be aware that information shared within the App is subject to your organization's own internal policies.

4.2 Service Providers

We engage trusted third-party vendors who perform services on our behalf, such as cloud hosting, data storage, email delivery, analytics, and customer support. These service providers are contractually obligated to process data only as directed by us and to maintain appropriate security measures.

4.4 Business Transfers

In the event of a merger, acquisition, restructuring, or sale of all or a portion of our assets, your information may be transferred as part of that transaction. We will notify affected users via email or a prominent in-App notice prior to any such transfer and will describe the choices you may have regarding your information.

4.5 Aggregated or De-Identified Data

We may share or publish aggregated, de-identified information from which individual identities cannot reasonably be determined for research, benchmarking, industry reports, or marketing purposes.

We retain personal information for as long as necessary to fulfill the purposes for which it was collected, to maintain accurate records, and to comply with our legal obligations.

Upon expiration of the applicable retention period, data is securely deleted or de-identified in accordance with our internal data management procedures.

Where technically feasible and legally required, you may request a copy of your personal data in a portable, machine-readable format.

7.5 Opt-Out of Marketing

If you receive marketing emails from us, you may opt out at any time by clicking the unsubscribe link in those emails or by contacting us directly. Opting out of marketing communications does not affect our ability to send you service-related notices.

7.6 California Residents — CCPA/CPRA Rights

If you are a California resident, the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) provide you with additional rights.

8. Children's Privacy

The Vigilant Church App is intended solely for use by adults 18 years of age or older acting in their capacity as church staff or volunteers. We do not knowingly collect personal information from individuals under the age of 18. If we become aware that we have inadvertently collected personal information from a minor, we will take prompt steps to delete that information.
